1. Information we collect
Information you provide
We may collect names, addresses, phone numbers, email addresses, dates of birth, Social Security and ITIN information, government identification, tax information, authorized credit reports, business-formation information, bookkeeping records, transaction data, contractor or invoice information, and banking details when required for authorized tax or service processing. This is treated as Sensitive Client Information.
Information collected automatically
We may collect IP address, browser and device type, pages visited, access date and time, and basic usage analytics for website performance and security.
Payment information
Electronic payments are processed through secure third-party processors. Lumera does not store full credit-card numbers on local systems. Processors maintain their own privacy and security policies.
2. How we use information
Information is used to provide tax and ITIN services; credit repair and financial advocacy; bookkeeping and QuickBooks support; business formation and digital setup; personal, career, notary, translation, records-request, apostille, and administrative services; consultations; payment processing; regulatory compliance; fraud prevention; and operational improvements. We do not sell personal information or share client data for marketing.
3. Legal basis for processing
Where applicable, information is processed based on contractual necessity, legal compliance, legitimate business operations, and client consent.
4. Information sharing and disclosure
We share information only when necessary and appropriate. This may include trusted tax-software, accounting, document-management, and payment platforms selected for their security practices. Information may also be disclosed with client authorization, for authorized filings, when required by law or court order, or to protect legal rights and respond to fraud or chargebacks.
5. Data security and safeguards
Administrative, technical, and physical safeguards include multi-factor authentication, full-disk encryption, endpoint protection, secure client portals, limited access, password-protected devices, screen locks, secure cloud-first storage, and secure destruction of physical documents.
Prohibited practices include storing Social Security numbers in personal email, sending sensitive documents through unsecured messaging, using unsecured public Wi-Fi without protection, and storing client records in personal cloud accounts. No system can guarantee absolute security.
6. Data retention
Client records are generally retained for seven years after service completion unless law requires longer retention. After the retention period, digital records may be securely deleted and physical records securely shredded. Clients must keep their own copies of important records.
7. Incident response
If a security incident is suspected, Lumera will isolate affected systems, investigate, apply corrective measures, document the event, and notify regulators or affected clients when legally required.
8. Client responsibilities
Clients are responsible for providing accurate information, using secure channels when instructed, maintaining current contact details, and keeping copies of submitted documents.
9. Cookies and tracking
